We will have a detailed discovery and vision meeting with you and your team to learn about your ideas and your ultimate objective for the event.
We will research the best venue options, conduct site visits and compile the results for your review. Once the venue is selected, we will negotiate the contract to ensure the maximum value is extracted. If the is a hotel venue, we will negotiate the room block required to secure the meeting space.
We will present our event experience concepts and walk you through our vision for the attendee journey. This includes registration, set design, room layouts and floor plots, ambiance, playlists, swag and more.
We will create a detailed budget for the final experience concepts, review the numbers line by line and make adjustments as needed.
We will design a signage strategy and work with your designer to create the files we need. We will coordinate the print and assembly of all physical assets such as workbooks, name badges, lanyards and wayfinding. We will compile all design files for digital assets such as slides, motion graphics and video.
We will coordinate catering and curate custom menus based on your specific needs for staff, crew and attendees.
We will communicate with outside talent including emcees, presenters and entertainment involved in your experience to ensure their needs are met from travel to technology.
For events held at an offsite venue, we will work with local hotels to negotiate a courtesy room block with a discounted room rate for your attendees, staff and talent.
In a one hour video meeting, we will gain a comprehensive understanding of your needs and identify where you need the most guidance.
